SharePoint Alert Retirement Update: New Alert Plus Features, Enhanced Security, and What’s Coming Next

As organizations prepare for the upcoming SharePoint Alerts Retirement, many Microsoft 365 administrators are evaluating their options for replacing SharePoint Online Alerts before Microsoft’s retirement deadlines arrive.

Alert Plus was designed specifically as a modern SharePoint Alerts replacement, allowing organizations to preserve the familiar notification experience users rely on while adding enterprise-grade administration, security, and customization capabilities.

Over the past several months, our development team has focused on two priorities: expanding Alert Plus functionality and strengthening the Azure infrastructure that powers our notification platform. The result is our most capable release yet and an even stronger alternative to SharePoint Alerts for organizations planning their migration strategy.

Whether you’re evaluating solutions for a SharePoint Alert migration, looking to replace custom Power Automate workflows, or simply preparing for Microsoft’s retirement of SharePoint Alerts, this release delivers significant new capabilities.

What’s New in the Current Release

Item-Level Alerts

One of the most requested features from customers migrating from SharePoint Alerts has been the ability to subscribe to individual documents and list items.

With Item-Level Alerts, users can now create alerts on specific documents or list items, allowing them to monitor critical content without receiving notifications for every change occurring in a library or list.

This provides a much more targeted notification experience and helps reduce unnecessary email traffic while maintaining the flexibility users expect from a modern SharePoint notification solution.

Enhanced WYSIWYG Email Editor

Creating professional notifications is now easier than ever.

Our new WYSIWYG editor allows alert administrators to visually design email templates without needing to understand HTML. Users can format content, insert dynamic fields, and create notifications that align with organizational communication standards.

This enhancement makes it easier to deliver polished, branded Microsoft 365 notifications throughout your organization.

Improved Alert Administration Experience

Managing alerts across large environments has become significantly easier with the addition of the new List and Library Picker within Alert Admin.

Administrators can quickly navigate large SharePoint environments and locate alerts associated with specific lists and libraries, making management and troubleshooting much more efficient.

Advanced Error Tracking and Reporting

We’ve introduced comprehensive alert status reporting to help administrators understand exactly why an alert may have failed.

Alert Admin now provides visibility into:

  • Failed alert deliveries
  • User-specific notification issues
  • Detailed error messages
  • Delivery troubleshooting information

This dramatically reduces the time required to diagnose notification problems and improves overall system transparency.

Azure Backend Improvements

While new features are important, reliability remains our highest priority.

Over the last several months, we’ve invested heavily in strengthening the Azure services that power Alert Plus. These improvements have already been deployed to production environments and are delivering measurable benefits to customers.

Duplicate Notification Prevention

We have implemented additional safeguards throughout our processing pipeline to eliminate scenarios that could result in duplicate notifications being generated.

Customers can have greater confidence that alerts are delivered accurately and only when expected.

Microsoft Graph API Compatibility Updates

Recent changes in Microsoft Graph APIs introduced challenges around detecting deleted items and folders. Our engineering team updated the backend processing engine to accommodate these changes, ensuring deletion events are processed correctly.

Organizations relying on document and folder monitoring can now confidently receive deletion notifications as expected.

Improved Queue Processing Reliability

We’ve enhanced the Azure worker services responsible for processing alerts and notifications.

These improvements address rare situations where alerts could be delayed due to queue processing bottlenecks, resulting in more predictable and reliable delivery performance across all customer environments.

These backend enhancements ensure Alert Plus continues to provide reliable Microsoft 365 notifications and enterprise-scale alert processing for organizations transitioning away from SharePoint Online Alerts.

Coming Soon: Alert Templates

One of our most exciting upcoming releases is the introduction of Alert Templates.

For many organizations replacing SharePoint Alerts, standardizing notifications across departments is a key requirement. Alert Templates will make it significantly easier to deploy consistent alerting experiences across large Microsoft 365 environments.

Organizations will be able to define standardized templates for each trigger type supported by Alert Plus.

Examples include:

  • Item Created
  • Item Modified
  • Item Deleted
  • Created or Modified
  • Approval and business process notifications

Administrators will be able to customize the out-of-the-box templates to align with organizational standards, branding requirements, and communication policies.

Instead of every user creating alerts from scratch, organizations will be able to establish approved notification formats while still providing flexibility where needed.

Assign Alerts to Users

Another highly requested feature currently under development is the ability for administrators to assign alerts directly to users.

Through Alert Admin, administrators will be able to create and manage alerts on behalf of users and assign ownership for ongoing management.

Once assigned, those alerts will automatically appear within the user’s Alert Me → Manage My Alerts interface, where they can review, modify, or remove them as needed.

This feature is especially valuable for:

  • Department-wide notifications
  • New employee onboarding
  • Standard operational alerts
  • Compliance and governance requirements
  • Organization-wide communication workflows

Administrators gain centralized control while users maintain visibility and ownership of the alerts that affect them.

Coming in Mid-July: Permission-Aware Alert Delivery

One of the most significant enterprise enhancements on our roadmap is scheduled for release in mid-July.

Advanced Security Validation for SharePoint Alerts

Many organizations have asked for additional safeguards to ensure alerts are only delivered to users who still have permission to access the underlying SharePoint content.

When enabled at the tenant level, Alert Plus will perform security validation before notifications are delivered.

The Azure backend will verify that recipients continue to have access to:

  • SharePoint Sites
  • Lists and Libraries
  • Folders
  • Individual Documents and Items

If permissions have changed and a recipient no longer has access to the content, Alert Plus can prevent notification delivery and record the reason within Alert Admin for auditing and troubleshooting purposes.

Unlike legacy SharePoint Alerts, organizations can enable tenant-wide permission validation to ensure notifications are only delivered to recipients who currently have access to the underlying SharePoint content. This provides an additional layer of governance and helps organizations meet compliance, security, and data protection requirements.

For organizations operating in highly regulated industries, this feature provides an important safeguard while maintaining the flexibility that Alert Plus offers today.

Preparing for the SharePoint Alerts Retirement

Microsoft’s SharePoint Alerts Retirement is rapidly approaching, and organizations that depend on SharePoint notifications should already be planning their transition strategy.

Alert Plus provides a proven SharePoint Alerts replacement that preserves the familiar user experience while delivering modern administration, advanced security controls, customizable templates, item-level alerts, folder-level alerts, detailed reporting, and enterprise scalability.

As Microsoft’s retirement deadlines approach, we’re continuing to invest heavily in making Alert Plus the most complete alternative to SharePoint Alerts available for Microsoft 365 organizations.

If your organization is evaluating a SharePoint Alert migration, looking to replace custom Power Automate workflows, or preparing for the retirement of SharePoint Online Alerts, now is the ideal time to begin testing and planning.
