How to Create Subtasks and Multi-level Task Lists in SharePoint 2013

In Share Point 2013, Microsoft has truly maximized how you utilize Task Lists. One of their new developments for managing your tasks includes the ability to add multiple subtasks to your SharePoint tasks. In this post, we’ll show you how to add, manage, and rearrange tasks and subtasks in multi-level lists.

Add a new subtask to a current task item:

  • Open up a SharePoint list. Select a task and click the associated ∙∙∙ button to open the task’s menu:
  • Select Create Subtask from the menu to add a new subtask to the task at hand:
  • Input the applicable text for the subtask. Click Stop editing this list once you have finished entering your data. This will save your newly created subtask:
  • After you have successfully added your new subtask, you will see it listed under its parent task:

Create a multi-level task list:

  • You can easily create a multi-level task list following the same instructions listed above. Simply click either a task or a subtask and open its menu to add the subtask. Once you’ve finished, you will have a multi-level task list that contains a hierarchy of tasks and subtasks:

Change the level of a task item:

1. Change the level of a subtask and move it up to the same level (or higher) as its parent task:

  • Select a subtask and then select the Task tab on the Ribbon. Click the Outdent button. This will move the subtask up a level. Continue to Outdent the task until it is at the desired level:

2. Change the level of a subtask and move it down to a lower level:

  • Select a subtask and then select the Task tab on the Ribbon. Click the Indent button. This will move the subtask down a level. Continue to Indent the task until it is at the desired level:

3. Change the parent of a subtask:

  • Select a subtask and then select the Task tab on the Ribbon. Click the Outdent button. Continue to Outdent the task until the subtask is at the same level as its parent task:
  • Click the Move Up or Move Down button to reposition the subtask under its parent task.
  • Click Indent to change the level of the selected subtask to a new level.
  • The subtask will now be displayed under its new parent task:
